What Snowfox adds on top of
SAP's own automation

Snowfox automates the purchase invoices that SAP's own automation cannot reach.

85 to 95 % of purchase invoices coded and routed automatically

The AI learns your way of coding purchase invoices directly from your own invoice history. It starts coding and routing the majority of your purchase invoices automatically right from go-live, and most customers are at 85 to 95 % within the first six months.

Zero rule building required

Our AI learns your coding logic directly from past invoices, removing the need for templates or complex rule setup, so you can focus on higher-value work.

It works inside your SAP environment

There is no separate interface for anyone to learn. Snowfox sits between your invoice source and SAP, codes the invoice, and passes it on. The people who approve invoices never see us.

Live in weeks, not months

The technical integration takes a few days of working effort. In calendar time, from kick off to go live, most customers are running in 3 to 6 weeks.

Save several minutes on every invoice

Coding and routing an invoice by hand takes minutes of time. Snowfox gives that time back on the majority of your purchase invoices.

It gets better the longer you run it

Every correction your team makes goes back into the model. Accuracy keeps climbing, and you do not have to do anything to make that happen.

The difference Snowfox makes

Coding purchase invoices by hand is slow, expensive and error-prone. Here is what AI changes in your process, right from go-live.

How It Works

How Snowfox Works Inside
Your SAP Environment

Snowfox integrates directly with your existing purchase invoice process, using 6-12 months of historical SAP data to train a custom AI model based on your coding and approval logic. It continuously learns and improves accuracy in real time, adapting to your business as it evolves.

Invoice Received

E-invoice, PDF or paper invoice enters your existing SAP workflow.

OCR & Validation

Data is extracted and prepared for automation.

AI Prediction

Snowfox auto-codes the invoice and predicts the reviewer, no rules required.

Workflow in SAP

The invoice flows through your standard SAP approval and payment process.

Feedback Loop

Final coding flows back into Snowfox. If users make changes, AI learns from them to improve future predictions.

How the AI works 8 questions
Does the AI learn from our own invoice data, or is it a shared global model?

It learns from your own invoices only. There is no shared or global model, and no data moves between customers. Every prediction it makes comes from how your organisation has coded invoices in the past.

How much invoice history do you need before you can start?

Typically 6 to 12 months, together with the coding and workflow data that goes with it, so the model can see who normally reviews and approves what. If you have less than that, tell us and we will look at it, but 6 months is where the results start to get good.

What happens when the organisation changes and cost centres move?

You can enter the change in the admin tool and the AI adapts to it immediately. If nobody enters it, Snowfox usually picks up the new cost centre by itself after 3 to 5 invoices.

Does the AI learn from invoices that somebody corrected by hand?

Yes, and those are the most valuable ones. Every corrected or rebooked invoice goes back in as training material, which is why accuracy keeps climbing after go live rather than flattening out.

Is the model trained per customer, and who pulls the history out of SAP?

Each model is trained from scratch for one customer and is never shared. The extraction can be done by your own team or by your SAP implementation partner, and we provide the documentation for it.

What automation level should we expect, and when can we start posting automatically?

Most customers land between 85 and 95 % within the first six months. Automatic posting is something you switch on per dimension once you are comfortable, using a confidence threshold you set yourself.

How much do you have to customise it for our suppliers and our special cases?

In practice, almost never. The supplier specific patterns and the odd exceptions are already in your invoice history, and that is exactly what the AI reads.

Can one organisation have more than one model?

Yes. If different parts of the group code invoices in genuinely different ways, we train a separate model for each. Models are never shared across tenants.

Integration with SAP 6 questions
Is Snowfox part of SAP, or a separate integration?

We are a separate add-on. Snowfox is an automation layer that sits between your invoice sources and SAP, enriches the invoice, and hands it over.

Where do the automation rules live, in SAP or in Snowfox?

In SAP, where they already are. We do not touch them. SAP automates what its own rules can handle, and Snowfox takes the invoices that would otherwise end up on somebody's desk. As your rules improve, our share goes down, which is how it should be.

Which invoice sources do you support, Peppol included?

All of them. Peppol, other e-invoice formats, and scanned images that have been through an OCR solution. If it reaches your invoice process today, we can read it.

Does this mean changes to our SAP code, and what about updates?

No changes to core SAP. Snowfox runs as an external layer, which is also why SAP updates are a non event for us.

Where does our team work once Snowfox is live?

In SAP, exactly as they do today. Approvals, corrections and final posting all happen in the system they already know. Most people only notice that the invoice arrives already coded.

What do we actually have to connect?

Three points. Invoices come in to Snowfox from your invoice source or e-invoicing operator, the coded invoice goes from Snowfox to SAP, and the finished coding and approval data comes back from SAP to us so the model keeps learning.

Invoice coding and accounting 4 questions
Can we see why the AI coded an invoice the way it did?

Coding explainability is close to release. Once it is out, you can open a prediction and see what drove it. Today you get a confidence value, which is the AI telling you how sure it is about that particular prediction on a scale of 0 to 100 %.

Can you combine invoice lines that share the same account and tax code?

Yes. Snowfox can consolidate those lines before the invoice goes to SAP, which keeps the posting a lot tidier than the original invoice often is.

What about invoices tied to work orders or projects that change constantly?

Snowfox can either complement your existing precoding or predict the work order and project codes itself. It does well whenever there is something consistent to go on, a delivery address for example.

Do you catch errors on the invoice, wrong VAT or missing details?

We are launching an invoice validation service that covers incorrect VAT, missing entity data and the other discrepancies that normally get found far too late in the process.

Invoices with a purchase order 3 questions
What about goods receipt on purchase order invoices?

That stays in SAP as standard. Our focus is the coding and routing of invoices that arrive without a purchase order, and we do not get involved in arrival registration.

Do you handle purchase order invoices at all?

Mostly we do not need to. SAP matches and codes those natively and does it well. The manual coding sits with the invoices that arrive without a purchase order, which is where we put our effort.

Can you prepost purchase order invoices?

Not at the moment. It is on the list of things we are looking into, but I would rather say so plainly than promise it.

Pricing 5 questions
How is Snowfox priced?

A fixed monthly fee based on how many purchase invoices you have to code in a year, which in practice means the ones that arrive without a purchase order. There are no per transaction charges, so a busy month does not cost you more.

How many invoices do you need before this makes sense?

As a rule of thumb, from 1,000 purchase invoices a month that somebody codes by hand today. Below that the saving is real but modest, and I will say so rather than sell you something that does not pay back.

Is the fee fixed or volume based?

Both, in the sense that the fee is fixed monthly and the level of it is set by your total annual volume. Nothing varies per transaction.

We are a group with several legal entities. Does that change the price?

No. The number of companies in the group makes no difference. Pricing looks only at how many purchase invoices the whole organisation has to code in a year.

What does this cost compared with doing it by hand?

A manually coded invoice costs most organisations somewhere between 4 and 8 euros once you count the time it takes in AP and with the business managers approving it. With Snowfox the same invoice costs well under a euro. Take your own annual volume and the comparison takes about a minute.

Implementation 2 questions
How long does the integration take?

A few days of working effort on the technical side. In calendar time, including testing and go live, 3 to 6 weeks is the normal range.

What does the project ask of our own people?

Less than you would expect, and this is not an IT project. Somebody has to extract the invoice history and somebody has to be available for the integration, and that is close to the whole list.

Configuration and maintenance 3 questions
Does the model need retraining when people leave or the organisation is restructured?

No. You update approvers and reviewers in the admin tool and carry on. There is no retraining project waiting for you.

How fast does it react when cost centre information changes?

Immediately, if you make the change in the admin tool.

How much maintenance does this need once it is running?

Very little. The configuration data is mirrored from SAP, so there is no second dataset to keep in step. In practice the ongoing work is reading the analytics now and then.
